Custom ERP software vs. off-the-shelf systems: which one fits your SME
Off-the-shelf ERP vs. custom ERP software for SMEs: total cost, the limits of each option and the concrete criteria to choose without getting it wrong.
Short answer
An off-the-shelf system lets you start fast and cheap, but hits a ceiling when your operation has its own rules. Custom ERP software covers that. The criteria to decide without overpaying.
The question reaches me almost daily: "should I go with an off-the-shelf system or build custom ERP software?". And the honest answer is neither. It's "it depends on how your business operates". But saying that without explaining what it depends on is saying nothing, so let me explain.
What an off-the-shelf system is and why it looks like the obvious choice
An off-the-shelf ERP (Tango, Gesti贸n or similar) is software designed for a thousand businesses at once. That's why it's standard: you install it, configure what can be configured, and you're done. It looks cheap because the entry cost is low and there's no development involved.
The problem is that it was designed for the average business, and your business isn't average. It has its own way of invoicing, its chart of accounts, its sales flow. When your operation doesn't fit that mould, what you pay isn't the license: it's the money you lose adapting your business to the system, instead of the system to your business.
When an off-the-shelf system is the right answer
- You're just starting out, validating a model and need something working fast and cheap.
- Your process is completely standard: purchasing, sales and stock with no unusual rules.
- There are no demanding integrations (payments, tax authorities, supplier portals) or complex roles.
- The margin doesn't yet justify developing your own system.
When the off-the-shelf system starts holding you back
There's a moment when you hit the ceiling. You sell wholesale and retail with different prices per client. You track stock by batch with expirations. You need the invoice to carry a message the system doesn't support. You have three branches with separate control. That's when you start working around the system: auxiliary spreadsheets, double entry, people doing "the trick" we all know so the register balances.
That's the exact point where custom ERP software stops being a luxury. It's built from your actual workflow: how your people sell, how products come in and out, which reports you need to see to make decisions. Not the other way around.
Total cost, not just the entry price
- Off-the-shelf: initial license + monthly fee per user or per salesperson. It adds up every month, for years.
- Off-the-shelf: hours of your people entering data twice, and you patching processes that don't fit.
- Custom: one upfront investment, the system is 100% yours, no monthly fee or per-salesperson cost.
- Custom: maintenance only if you want to add new modules or integrations.
Concrete criteria to decide
- How much of your operation is handled "by hand" today (spreadsheet, paper, WhatsApp)? If it's little, off-the-shelf is enough.
- Does your business have rules a generic system doesn't know? Special prices, batch stock, commissions, appointments.
- Are you going to grow? Switching systems later is always more expensive than starting with the right one.
- What will you pay in monthly fees over 3 years? Compare it with the total cost of the development.
You don't need to guess: if you're not sure what fits where, the five management systems most requested by SMEs in northern Argentina gives you a real picture of projects like yours.
If you're at that crossroads, tell me how your business works today: what is done by hand and what bothers you. I'll tell you straight whether an off-the-shelf system is enough or whether custom software makes sense.
